If you are already working as Executive Assistant in managing calendars, scheduling meetings, and providing administrative support to the Top Management in their day to day work.

RESPONSIBILITIES

  • Extensive management of on-line diaries, booking appointments, preparing presentations, arranging meetings and updates as required for the executive team based out of our global offices.
  • Must be able to handle a wide variety of complex and confidential situations.
  • Should be able to take meeting notes, document the recordings and schedule follow-ups if any.
  • Document memos, announcements etc. in Kensium Standard templates.
  • Organize and distribution of various documents
  • Research various tools, blogs websites, material and provide comparison to the management team
  • Managing a daily to do list
  • Holds self to highest levels of professional code of conduct, confidentiality, ethics and values, presenting true information at all times.
  • Ability to communicate well with peers, cross-functional groups (excellent spoken and written English language skills).
  • Strong analytical and problem-solving skills combined with people management skills.
  • Should have excellent time management and multitasking skills to handle multiple tasks at once.
  • Organizational skills while maintaining sharp attention to detail.
  • Manage the day to day functions of the Chicago office.
  • Should be a Self-starter.
  • Experience in handling travel arrangements and should be well versed with booking domestic and international flight ticket booking.
  • Assist with formatting PPT decks and Word docs.
  • Generate periodic reports from various sources (tools, portals and applications) as needed for the executive team.
  • Answering phones and routing calls to correct persons or taking messages.
  • Performing office duties including ordering supplies.

EXPERIENCE AND SKILLS

Minimum

  • Excellent working knowledge of MS Office and telephone protocol is must.
  • Mid-level understanding of financials/accounting
  • Outstanding organizational and time management skills
  • Excellent written and verbal communications
  • Mid-level skills in maintaining and troubleshooting computers
  • Attention to Detail
  • Multitasking, Planning & Co-ordination skills.
  • Willing to work in US shift
